How the Vänta Nova Association in Helsingborg handles personal data when you use the website or contact the station.

When you submit a form, we process the information you provide, such as your name, email address, telephone number, subject and message. We also store the form language, consent time, a one-way hash of the IP address and limited browser information to prevent abuse. For authorized staff we process account details, roles, security events and login history.

We use this data to receive and answer enquiries, ideas, participation requests and feedback, and to protect the service. Forms are processed following your active consent. Necessary security processing relies on our legitimate interest in preventing abuse and protecting the website. You can withdraw consent by contacting us.

Active cases are retained while they are handled. Cases marked replied, closed, archived or spam are automatically deleted after 12 months. Old rate-limit hashes are deleted after 48 hours. Web-server logs rotate after 14 days. Encrypted local backups may contain an older copy until the normal retention cycle of no more than three months ends. Access controls, encrypted connections and limited staff access protect the data.

Authorized Vänta Nova staff may access data needed for their work. The website, database and files run in our own Supabase environment on the same VPS. Visitor forms, private messages and account information are not sent to our translation providers. External players such as YouTube, Spotify or SoundCloud are contacted only after you choose to load them; the provider’s terms then apply and data may be processed outside the EU/EEA.

You may request access, correction, deletion or restriction, and object to processing based on legitimate interests. Withdrawing consent does not affect earlier lawful processing. We normally respond within one month. You may also complain to the Swedish Authority for Privacy Protection, IMY, at imy.se.
